03How We Use Information
DISTWE uses information to provide, operate, maintain, secure, and improve the DISTWE platform and website; manage enquiries, demonstrations, waiting list requests, onboarding, customer support, account administration, and communications; configure workspaces and user access; process operational workflows; monitor platform performance; investigate errors or security issues; and comply with legal, tax, accounting, security, and regulatory obligations.

DISTWE does not use customer operational data to sell unrelated third-party products.
04Data Security
DISTWE applies reasonable administrative, technical, and organisational safeguards designed to protect information against unauthorised access, misuse, loss, alteration, or disclosure. These safeguards may include controlled access, authentication, role-based permissions, monitoring, secure infrastructure practices, and separation of customer workspaces.
No online service, data transmission, or storage system can be guaranteed to be completely secure. Customers and users are responsible for maintaining secure account credentials, using appropriate access controls, reviewing permissions, and promptly notifying DISTWE of suspected unauthorised access or security incidents.
05User Access and Permissions
DISTWE supports workspace-level user access, page access, role-based permissions, and action permissions. Customers are responsible for deciding which users are invited to a workspace, what access those users receive, and whether access remains appropriate over time.
DISTWE may process permission and access information to enforce controls inside the platform, support auditability, assist with workspace administration, and help customers manage operational accountability.
06Data Ownership
Customers retain ownership of the business data, operational records, and content they enter into the DISTWE platform. DISTWE does not claim ownership of customer data.
Customers grant DISTWE the limited rights necessary to host, process, transmit, display, back up, secure, troubleshoot, and support customer data for the purpose of providing the DISTWE service, improving platform reliability, complying with legal obligations, and performing related operational activities.
07Customer Data Responsibility
Customers are responsible for the accuracy, legality, quality, completeness, and appropriateness of the data they enter into DISTWE. This includes supplier information, customer information, inventory records, purchase and sales records, compliance records, payroll-related records, tax-related records, and any personal information entered by customer users.
Customers must ensure they have the necessary rights, notices, permissions, and lawful basis to enter, store, process, and manage information in DISTWE, including information relating to employees, customers, suppliers, contractors, and other individuals.
08Third-Party Services
DISTWE may use third-party service providers to support hosting, infrastructure, database services, authentication, analytics, communications, email delivery, error monitoring, support, payment, accounting, or other operational requirements.
These providers may process information on DISTWE’s behalf only as reasonably necessary to provide their services, support the DISTWE platform, comply with legal obligations, or protect security and reliability. DISTWE is not responsible for third-party websites, platforms, or services that are not controlled by DISTWE.
09Cookies and Analytics
DISTWE may use cookies, local storage, analytics tools, and similar technologies to operate the website and platform, remember preferences, support security, understand usage, measure performance, and improve user experience.
Users may be able to manage cookies through browser settings. Disabling cookies or similar technologies may affect availability or functionality of some website or platform features.
10Data Retention
DISTWE retains information for as long as reasonably necessary to provide the service, manage customer accounts, support business operations, comply with legal, tax, accounting, audit, security, and regulatory obligations, resolve disputes, enforce agreements, and maintain backups and records.
Retention periods may vary depending on the type of information, the customer relationship, applicable laws, operational needs, and whether information is stored in active systems, archives, logs, or backups. When information is no longer required, DISTWE will take reasonable steps to delete, de-identify, or securely retain it in accordance with applicable requirements.
11User Rights
Depending on applicable law and the nature of the information, individuals may have rights to request access, correction, deletion, restriction, portability, or objection to processing of personal information. Requests may need to be verified before action is taken.
Where information is controlled by a DISTWE customer through a customer workspace, DISTWE may direct the individual to contact that customer or may work with the customer to respond to the request. DISTWE may decline or limit requests where permitted or required by law, including where retention is necessary for legal, security, accounting, dispute resolution, or legitimate business purposes.
